General Duties, Responsibilities and Activities

  • Process resale certificates for changes of property ownership
  • Dealing with association attorney on legal matters
  • Working with the title companies and mortgage companies for refinancing and sales
  • Ensuring the property is well-maintained
  • Securing proper coverage for the association such as general liability, umbrella and directors' and officers' insurance
  • Contacting and meeting with contractors to discuss work for the association and monitoring the work, whether on a regular basis, or as-needed
  • Supporting and expecting proper etiquette, professionalism and conduct in all matters with the board of directors and association
  • Work as an integral member with the board of directors and association
  • Provide guidance and assistance in reviewing and amending association governing documents
  • Taking direction from the board of directors through a designated member of prior to HOAthe board

Daily Activities

  • Run daily operations for homeowners
  • Collect and process assessments
  • Make bank deposits
  • Be available to owners to resolve issues and answer questions

Monthly Activities

  • Pay bills, vendors and contractors
  • Manage member accounts
  • Handle delinquent accounts
  • Drive the property to monitor violations and oversee maintenance issues
  • Complete end-of-month reports and balance the accounts with bank statements
  • Provide monthly reports to board of directors
  • Preparation and mailing of newsletters to owners and renters

Annual Activities

  • Preparation of association budget
  • Preparing for and holding of annual, special or board of directors meetings
  • Preparation for annual tax returns, audits and evaluations
  • Preparation of annual packets for owners
  • Compilation of a directory of owners as requested by the association on a yearly basis

Memberships
When we joined Community Association Institute (CAI), we knew we would belong to an organization that continually adds to the education and resources of topics that pertain to homeowner’s associations. Topic examples include legal matters, advice from other managers who have experienced similar issues, and some of the latest techniques used.

We may want to suggest to our board members to consider implementing new ideas or techniques to get the best results for the subdivisions that we manage.

landscapingWe have the ability to purchase books and read exclusively on topics that were designed for subdivision and condominium management as well as daily problems or concerns that need to be addressed or solved. We can enroll in classes that bring us up-to-date on daily changes that the laws enforce on subdivision managing.

We meet monthly and have speakers educate the group of managers, builders, developers or anyone that belongs to the institute on matters such as enforcing the governing documents, rules and regulations enforcement, implementing fines, water restrictions and conservation, and new pool rules regulated by the state. This educational experience also gives us an opportunity for a question-and-answer period.

Once a year, we have an annual show that gives contractors and vendors a chance to have a display booth and provide useful information about their companies that we could add to our database and possibly use in the subdivisions we manage. These business professionals are trained in their area of expertise.
